Student Organization Fair
The Fall 2013 Student Organization Fair will be held on Wednesday, September 11 from 4pm to 8pm in the Kohl Center. For more information on how to sign your student organization up for a table at the fair or for tips on how to get the most out of attending the fair as an individual, see below.
How Organizations Sign-up to Participate in the Fair
The Student Organization Fair is an opportunity for your group to promote and publicize your organization to UW-Madison students and to meet other student organizations who you may work with throughout the year. Sign-ups will be accepted on a first-come, first-served basis. Space is limited to up to 315 student organizations based on the capacity of the Kohl Center.
Signing-up for the Student Organization Fair:
1. Student Organizations can sign up to be part of the Fall 2013 Student Organization Fair starting Friday, April 12, 2013 at noon.
2. Only Registered Student Organizations (RSOs) are eligible to participate. Please check the RSO Directory in the Wisconsin Involvement Network (WIN) (Organizations tab) to see if your group is officially a Registered Student Organization. If you are not, you may visit the RSO Registration section of the CfLI website to register.
3. Only the Primary Contact for your organization may complete the Student Organization Fair sign-up form.
To sign-up for the fair
• Go to http://win.wisc.edu and log in (upper right, use your UW Net ID)
• After logging in, click on this link to the Student Organization Fair Spring RSO Sign-up Form (SIGN-UP IS NOW FULL, SEE WAITING LIST BELOW)
4. Once the fair is full, the Student Organization Fair sign-up form will be closed and we will open a Waiting List.
Waiting List:
1. The Waiting List is only active prior to the day of the fair. If you have not been notified that you have received a table, please come to sign up on the Open Tables List (see instructions below) on the day fo the fair.
2. If another student organization cancels, you would be notified that you are participating in the fair based on your number on the list
To sign up for the Waiting List:
• Go to http://win.wisc.edu and log in (upper right, use your UW Net ID)
• After logging in, click on this link to the Student Organization Fair Spring RSO Waiting List Form (https://win.wisc.edu/form/start/20414)
4. You must submit the form before midnight on Wednesday, September 4, 2013. After that time, the Waiting List will be closed.
5. Remember, you must be the Primary Contact to access this form!
Open Tables List:
1. The Open Tables List is only active the day of the fair.
2. If another student organization does not sign-in by 3:45pm or does not set-up by 4:00pm, their table is given away on a first-come, first-served basis.
3. To get on the Open Tables List, stand in line at the Kohl Center on the day of the fair.
4. The line starts at 2:45pm.

Frequently Asked Questions
How do I know who the Primary Contact is for my organization?
Search for your organization in the RSO Directory in WIN and the Primary Contact will be listed on your organization’s WIN page in the lower right of your home page or in the roster section.
How do I change my Primary Contact for my organization?
Anyone with access rights to your organization’s roster in WIN may change it to a new person. Those with full access include all four required contacts and anyone who has been assigned a position with roster access by those contacts.
1. Go to win.wisc.edu and log in (upper right, UW Net ID)
2. Select “Roster” from left navigation, then “Manage Roster”
3. If you have access to make changes to the Roster, you will see a button that says “Change” next to the Primary Contact
4. Click on “Change” button and a drop-down list will appear of all of the organization members in the Roster. Select the person and click the “Save” button
Make sure the person in the Primary Contact position is a UW-Madison student enrolled at least half time (6 credits for undergraduates and 4 credits for graduate students).
How do I know if my organization has registered for the fair?
If you are not the Primary Contact:
Only the Primary Contact of your organization may fill out the form to sign-up for the fair. Please ask that person if they have completed the registration.
If you are the Primary Contact:
1. Go to win.wisc.edu and log in (upper right, UW Net ID)
2. In the menu bar across the top of the screen, go to My Involvement
3. Select Submissions from the drop-down menu
4. Go into the Forms tab
5. Look in the Status column to see if your form was approved
My organization can no longer attend the fair. What should we do?
Email involvement@studentlife.wisc.edu by midnight on Wednesday, September 4, 2013 and inform us that you no longer want your table for the fair. Any organization that does not cancel by midnight on Wednesday, September 4, 2013 and does not show up on time for the fair WILL NOT be allowed to participate in the following year’s fairs (Spring 2014 or Fall 2014).
How do I ask for a special request?
1. First read the Student Organization Fair Guidelines.
2. If your special request is outside of those guidelines, your request cannot be granted.
3. If you are requesting special accommodations, a chair, or anything else within the guidelines, you can request that while filling out the Student Organization Fair Sign-up form or Waiting List Sign-up form, whichever is applicable.
4. Remember, you must be the Primary Contact and be logged into WIN to access these forms!
5. Your request will be reviewed and approved or denied through your WIN submissions. Please go to My Involvement>My Submissions>Forms to check the status of your request.
My organization did not sign-up before the fair sign-up form closed. Is there still a way to participate?
You may sign-up for the Waiting List until midnight on Wednesday, September 4, 2013. In order to get on the Waiting List, you need to fill out the Fall 2013 Student Organization Fair Waiting List Form in WIN. If you have not been notified that your organization has received a table by the day before the fair, you can sign up for the Open Tables List the day of the fair. The line starts at the Open Tables List table inside Gate B of the Kohl Center at 2:45pm on the day of the fair. If a student organization does not sign-in by 3:45pm or does not set up by 4:00pm their table will be given away based on the order of the Open Tables list.
